PORTER COUNTY BOARD OF COMMISSIONERS
SPECIAL MEETING-ROOFING BIDS FOR NORTH COUNTY
OCTOBER 31, 2002
10:00 a.m.

The special meeting of the Porter County Board of Commissioners convened at 10:00 a.m. on Thursday, October 31, 2002 in the Commissioners' Chambers of the Administration Center for opening bids for re-roofing at the North County Annex.

Those present: Commissioners David Burrus and John Evans, County Attorney Gwenn Rinkenberger and Robert Gerometta, architect.

Com. Burrus, "I would like to call this meeting to order today for the purpose of receiving bids for replacing the roof on our North County Annex. We will open the bids today and read them aloud, pass them to the attorney for a legal review and then on to the architect for review. In order to accomplish that we will take a recess following the opening of the bids. At the end of the recess, if the architect concludes he can make a recommendation, we will take a break to discuss it and then make an award. If it requires more time for review then we will make our award at our next meeting which will be November 6th. I understand we have three bidders. I also understand there are two alternates regarding the warranty period."

Com. Burrus, "I believe that concludes the bid openings. Mr. Gerometta, how long would you think you need to look at these?"

Mr. Gerometta, "I am just checking the proper bid forms and the numbers, so approximately fifteen minutes."

Com. Burrus, "We will review these for fifteen minutes during our recess and if it is determined we need more time, then the review period will be extended. We will stand at recess for fifteen minutes."

The meeting was recessed for fifteen minutes.

Com. Burrus, "I will call the meeting back to order. We have the information on the two alternates. Alternate 1 extends the warranty from fifteen years to twenty years, alternate number 2 provided for the elimination of stone ballast for the rubber roof on the high area of the building which covers the mechanical area. In lieu of the stone ballast the specification then would be changed to include insulation with fasteners holding the rubber down. So as I said, the Commissioners have expressed the desire to accept or include both of these alternates in the consideration. The final bid totals including the two alternates would be as follows: for Korellis Roofing it would be $38,907.00; for Babilla Roofing it would be $37,940.00; and for Culver Roofing it would be $36,142.00. At this time I would ask Bob Gerometta if he would be able to make a recommendation as to the successful bidder."

Mr. Gerometta, "Yes, I am. The three bidders, from our past experience, are all competent roofers who have performed on projects we have had that have been done timely. My recommendation would be the lowest extended bid of $36,142.00 to be awarded to Culver Roofing, subject to their performance bond and meeting the time schedule specified in the specifications."

Com. Evans moved to accept the recommendation of the architect for Culver Roofing,

Com. Burrus, "I would like to repeat the two provisions he included in his recommendation. Those being the performance bond and the anticipated November 30th completion date, obviously subject to the absence of adverse weather."

Com. Burrus seconded, motion carried.

Com. Evans moved to recess, Com. Burrus seconded, motion carried.

With no further business to conduct, the meeting was recessed.
